1. Venue selection - Sourcing and selecting a venue can be both a time consuming and daunting exercise. We aim to remove that stress by taking over the process for you until a venue in confirmed. After an initial meeting to understand your event needs, dates, location, numbers etc Events on a Shoestring will:

  • Search for venue options and respective quotes
  • Come up with three top options
  • Run through these options with you, and assisting you in selecting a preferred one
  • Confirm the venue
  • Pass on any relevant venue details and their contact details for further management from your end

2. Competitive analysis report - Forewarned is forearmed, it is essential for you to know who you are up against when trying to attract participants to your event. Understanding your competitors will not only allow you to stay clear of any potential conflicts with dates and venues but also formulate some strong and unique selling points to use in your sales and marketing efforts. After an initial meeting to understand your event, market and industry further, Events on a Shoestring will:

  • Research any competitive events, both in your location and elsewhere
  • Put together a report containing a list of competitive events including organiser, websites and other details; a focus on the three most similar events highlighting their strengths, weaknesses and potential areas of improvement; a list of future sites to keep an eye on for other events

3. Topic and event research - Some content led events such as conferences and training courses require in depth research within their market or industry in order to create a cutting edge programme which will attract the top industry speakers and high delegate numbers. The actual programme design and speaker acquisition is a time consuming activity which our sister company Bright Conferences specialises in. However, here at Events on a Shoestring we would like to get you started by putting together an initial topic and event research document which will enable you to hit the ground running with your programme development. After an initial meeting to allow us to understand your event needs Events on a Shoestring will:

  • Carry out desk research on the event topic and industry
  • Put together a report containing related associations, publications, websites, blogs, sample topics, potential speakers, potential sponsors, key search terms

4. Initiate a social networking strategy - Working with social networks can sometimes be daunting – LinkedIn, Facebook, Twitter, Xing, YouTube etc... However, they provide a very strong marketing platform on a shoestring as your only costs are simply to man each of the systems. There are plenty of studies that indicate that social networking is the most effective way to reach out to the 18-35 year old audiences locally and abroad. Events on a Shoestring will help you navigate social networking, setting up accounts for your events and designing a follow up strategy for you to use. After an initial meeting with you to learn more about your event and marketing needs, we will:

  • Design a social networking marketing strategy for your event
  • Set up event accounts on sites such as Linked In, Twitter, Facebook and YouTube as necessary and dependant on your target audience
  • Start off the strategy with initial messages and friend invites
  • Run through the strategy with you and what your way forward should be. We will also train you on the programmes if needed

5. Setting up your shoestring budget - Every event needs a budget especially if you are being really cost conscious. The budget will guide you through your expenses and income to enable you to run an effective event whilst streamlining your investments in the areas that will reap a good return on investment. Through this add-on Events on a Shoestring will work with your finance manager to set up your initial budget by:

  • Creating a tailor made budget template for you to use
  • Putting together a list of potential income and expense items related to your event
  • Assigning feasible unit costs to your expenses
  • Creating three potential scenarios – Best case, expected case and worst case
  • Running through the budget together with your finance manager and explain how to maintain and use it
